Physical share names are changed through the company's registrar (RTA) • SEBI gives the RTA 30 days for a name change • Initials or a short name is a "minor mismatch", not a Gazette case

Physical Share Certificate Name Change in Jharkhand: Form ISR-1, RTA and SEBI Rules

Old paper share certificates are still lying in many homes in Jamshedpur, Ranchi and Dhanbad. Before they can be sold, they must go into a demat account, and SEBI's FAQ says "transfer of securities in physical form has been stopped with effect from April 01, 2019." If the name on the certificate does not match your PAN, the company's Registrar and Transfer Agent (RTA) must correct it first. SEBI's FAQ for RTAs sets the papers: for initials or a short name, "self-attested copy of any one of the documents" such as Aadhaar or PAN. That is not a Gazette notice. We publish Gazette notices, and we say this first.

30Days for the RTA to process a name change, per SEBI's FAQ
7Documents SEBI accepts to explain a minor name difference
2019Year physical share transfers stopped, per SEBI
0Gazette notices needed for initials or a short name
Quick answer

Five points, in the order you will need them. First, find the company's RTA; it keeps the shareholder records. Second, update your PAN, contact and bank details with the RTA on Form ISR-1, since SEBI says holders without them cannot avail any service request. Third, for initials or a short name, give one self-attested document such as Aadhaar or PAN. Fourth, for marriage, give the marriage certificate or a passport with the husband's name; for any other genuine change, SEBI asks for the Gazette. Fifth, then dematerialise the shares. We publish Gazette notices, and we say plainly when one is and is not needed.

Form ISR-1 and the RTA: Where a Physical Share Name Is Corrected

Physical share certificate name change in Jharkhand, with an old share certificate, Form ISR-1 and PAN card
The company's RTA holds the shareholder record and corrects it.

Form ISR-1 is titled "REQUEST FOR REGISTERING PAN, KYC DETAILS OR CHANGES / UPDATION THEREOF", for securities of listed companies held in physical form. SEBI's FAQ says it is used for requests covering "PAN, Bank Details, Postal Address, E-mail address, Signature, Mobile Number".

What SEBI's FAQ and Form ISR-1 say for physical shareholders
PointWhat the source says
Form ISR-1 itemsPAN, postal address, bank details, email, signature, mobile, demat account details
Without these detailsA holder cannot "lodge grievance or avail any service request", per SEBI's FAQ
Payments meanwhileDividend, interest or redemption "only through electronic mode", per SEBI's FAQ
How to submitOne mode is "self-attested photocopy(ies) of the relevant document, with date"
Name is handled with the RTA, but ask which form. The ISR-1 item list we read does not show "name" as an item. SEBI's FAQ sets out the documents for a name change separately. Ask the RTA which form it wants for the name, and send the KYC update on ISR-1 at the same time.

Which Physical Share Name Mismatch You Have: Minor or Major

SEBI's FAQ splits name problems into a minor mismatch and a change of name. It gives this example of a minor mismatch.

Kinds of physical share name mismatch
What does not matchWhat it usually is
Initials on the certificate, full name on PANMinor mismatch, per SEBI's example
A spelling slip or missing middle nameUsually a minor mismatch
Maiden name on the certificateA change by marriage
A completely different nameA change of name for another reason
The holder has diedTransmission to the heir, not a name change
SEBI's own example. "If shareholder has opened the demat account in the name of Sushil Ramesh Shah but his name on the share certificate may appear as S. R. Shah or Sushil R Shah etc. In such case, the difference in name would be considered as minor mismatch." Most old certificates are this case.

Documents for Each Physical Share Name Case, Per SEBI's FAQ

For a minor mismatch, SEBI's FAQ says "the RTA shall additionally obtain self-attested copy of any one of the documents mentioned in Table 3, clarifying the difference in names".

Documents for each physical share name case, per SEBI's FAQ
CaseWhat SEBI's FAQ asks for
Minor mismatchOne of: Aadhaar, passport, driving licence, a Government or bank photo ID, PAN with photograph, marriage certificate, divorce decree
Change by marriage"Marriage Certificate or copy of valid Passport showing husband's name or publication of name change in official gazette, and any document evidencing the old name"
Change for another reason"Publication of name change in official gazette, and any document evidencing the old name"
Your own KYC names differBring PAN, Aadhaar and bank to one name first. See PAN and Aadhaar mismatch
Self-attested copies only, in most cases. SEBI's FAQ says "You are required to provide only self-attested documents, with date, for all service request, except for transmission and duplicate shares." So a routine name correction should not need an affidavit or notary, going by SEBI.

After the Name Change: Demat, Timelines and Old Dividends

A corrected certificate is only half the job. Physical shares cannot be transferred, so the next step is a demat account in the same name.

Timelines and next steps after a physical share name change
PointWhat applies
RTA time for a name change30 days, per SEBI's FAQ
RTA time for PAN, bank or contact details15 days, per SEBI's FAQ
Transfer of physical sharesStopped from 1 April 2019; dematerialise first
Transmission to an heir21 days, per SEBI's FAQ
Old unclaimed dividendsIf shares moved to IEPF, see our IEPF claim page
Open the demat account in the same name. The demat name should match your PAN. If PAN, the corrected share record and the demat account all agree, dematerialisation goes through smoothly. See our demat and mutual fund page.

Does a Physical Share Name Change Need a Gazette Notice?

For initials, a short name or a spelling slip, no. SEBI calls that a minor mismatch. For marriage, usually no: a marriage certificate or passport works. But for a genuine change of name for any other reason, SEBI's FAQ asks for the Gazette.

When a Gazette notice is needed for a physical share name change
SituationWhat SEBI's FAQ asks for
Initials or short nameAadhaar, PAN or similar. No Gazette
Spelling slipUsually a minor mismatch. No Gazette
Change by marriageMarriage certificate or passport. Gazette optional
Change for any other reasonGazette required, with a document in the old name
Our commercial interest, stated plainly. We publish Gazette notices. For most old share certificates, the difference is initials, and you do not need one. Where you genuinely changed your name for another reason, you do. From Jharkhand, that goes in the Gazette of India, Part IV, since the state press stopped personal notices in July 2025, as reported.

How to Change the Name on Physical Share Certificates, Step by Step

1

Find the company and folio number

On the certificate.

2

Find the company's RTA

On the company website.

3

Compare the name with your PAN

Initials, spelling, surname.

4

Decide: minor mismatch or real change

SEBI's FAQ sets the line.

5

Update PAN and KYC on Form ISR-1

With self-attested copies.

6

Gather the name document

Aadhaar, marriage certificate or Gazette.

7

Send the name change request to the RTA

Ask which form it wants.

Wait up to 30 days

SEBI's timeline for a name change.

The one rule that holds the whole job together. Decide first whether your mismatch is minor. That tells you whether you need a simple document or a Gazette.

Central Gazette Process for a Name From Jharkhand, and Where It Fits Physical Shares

Read this before the rest of this section, because most physical share name problems never need it. Initials or a spelling slip is a minor mismatch explained with Aadhaar or PAN; a married woman uses a marriage certificate or passport. No Gazette notice is needed for those. It is needed for a genuine change of name for any other reason, and it is printed in full for that case.

No district in Jharkhand has a gazette counter, so a genuine file goes from Ranchi, Jamshedpur, Dhanbad, Bokaro, Hazaribagh, Deoghar or anywhere else in the state to the Department of Publication, Civil Lines, Delhi 110054, and the notice publishes in Part IV of the Gazette of India. As reported in July 2025 the Finance Department stopped personal name change notifications from the Jharkhand Government Press with immediate effect, so there is no state alternative to fall back on.

The Eight Steps of a Name File Sent From Jharkhand

1

Settle the final name first

Letter by letter, with the spacing you want, and then use exactly that everywhere, Aadhaar included. A corrigendum after publication is a second fee and a second wait.

2

Pick the category, then its proforma

A genuine change of name is change of Name Adult or Major. A wrongly typed spelling is the public notice for a wrongly written name. Twelve categories exist and only one is yours.

3

Type the proforma in duplicate

Two originals with two witnesses giving signature, full name, address and mobile number on both copies. A change of name is signed in the old name; a public notice is signed in your own name.

4

Fill the employment field if it is a change of name

The adult proforma asks for the post of the applicant and the office or company name. A student or a homemaker should still complete it rather than leaving it blank, because a blank field brings the file back.

5

Publish and keep the original paper

One of the daily local leading newspapers, carrying both names in full, the father or husband name and the residential address. The whole original paper goes in the file, not a cutting.

6

Pay only through BharatKosh

The Non Tax Receipt Portal and nowhere else since October 2018. Select the Department of Publication by name, read the amount the portal shows on the day, pay in your own name and print the e-receipt.

7

Check every date, then post it yourself

Nothing in the file older than one year. Personally or by post or courier only, never through an agent or advocate. Photocopy everything first, because nothing sent in comes back.

8

Read the notice, then update in the right order

Check every word the day it publishes and download the e-Gazette copy. Then update PAN and Aadhaar, then send the notice with an old-name document to the RTA, then dematerialise.

The Five Papers in the File, and What Is Checked in Each

The five papers of a Central Gazette name file from Jharkhand and what the Department checks in each
The paperWhat is checked in it, clause by clause
1. The proforma, in duplicateThat it is the right category format; the existing full name exactly as your documents carry it; the new full name exactly as settled; the father or husband name; the full address with pin code; the post and office or company name where it is a change of name; the signature in the right name for the category; two witnesses complete with signature, full name, address and mobile number
2. The affidavit or undertakingThe same names and address as the proforma, word for word, with wording matching the category. On Rs 100 non-judicial stamp paper as our safe default
3. The original newspaperThe original paper, not a cutting; the paper name and date of publication visible; both names carried; the father or husband name and residential address; dated within the last year
4. Photographs, identity proof and any category paperTwo self attested passport photographs; self attested identity and address proof matching the proforma address; both witnesses proofs; and, in a public notice file, the attested photocopy of the connected document carrying the error
5. The CD, its certificate and the BharatKosh receiptMS Word, without the witness portion, with the name typed in place of the signature; the certificate that the hard copy and the soft copy are the same; the forwarding letter to the Controller of Publication with a telephone number and email; the e-receipt
The proforma is where files are lost, and there are twelve to choose from. A wrongly typed spelling filed on the change of name form declares henceforth be known as, claiming a change you never made. The Government charge already paid is not refunded, because BharatKosh payments are non-refundable. You then have six months to make good a shortcoming the Department points out, after which a fresh application with all new documents is required.
What to select on BharatKosh, field by field. Pay to the Department of Publication under the Ministry of Housing and Urban Affairs, and pick the Ministry, the Pay and Accounts Office and the Drawing and Disbursing Officer by their names in the dropdown, never by a code copied off a website. The codes printed for this office on different websites do not agree with each other, and money paid into the wrong head cannot be traced to your file. Read the amount on the portal on the day you pay, because it is revised each financial year.
What a Gazette notice will not do for physical shares. It will not change the RTA's record by itself, and SEBI still asks for a document in the old name alongside it. It links old and new names, and nothing more. Since we publish these notices, the honest version is this: for initials or a slip, you need none. Our name correction against name change page explains the categories.

The posting detail is on the sending the file to Delhi page, the change of name wording on the proforma format page and the public notice wording on the public notice proforma page, the charge by category on the fee and undertaking page, the reasons files come back on the rejection reasons page, and the download on the download page.

What a Physical Share Name Change Costs

SEBI's FAQ, as we read it, does not set an RTA fee for these requests. We print none. The costs are the documents and the demat account, and usually not a Gazette notice.

Costs connected with a physical share name change
ItemWhat we can and cannot tell you
ISR-1 and name change requestAsk the RTA; we print no figure
Demat accountYour depository participant's charges
Courier to the RTAYour courier's charge
AffidavitSEBI says self-attested documents are enough for most requests
Gazette noticeOnly for a genuine change other than marriage. Paid on BharatKosh, revised each year and non-refundable
What we chargeQuoted on the call. For telling you whether your mismatch is minor, nothing
The mistake that costs the most. Buying a Gazette notice for initials on an old certificate. SEBI's FAQ treats that as a minor mismatch. Ask the RTA which document it wants first.

Who wrote and checked this page

Written and maintained by the Jharkhandnamechange.com documentation desk, led by founder Vipin Chauhan, B.Tech LL.B, with 5+ years filing with the Department of Publication. The rules on this page are quoted from SEBI's FAQs on investor service requests processed by RTAs, which refer to the Master Circular for RTAs dated 23 June 2025, and from SEBI's Form ISR-1: the minor mismatch rule, the seven documents, marriage and other name changes, self-attested documents, KYC for physical holders, the 2019 stop on physical transfers, and the timelines. Three limits are declared openly on the page itself. First, the ISR-1 item list does not show "name", so ask the RTA which form it wants. Second, we print no RTA fee. Third, transmission papers are not covered here. We publish Gazette notices, and this page says plainly when one is and is not needed. We are a documentation consultancy and not advocates, not an RTA, not SEBI, and not the Department of Publication. Who we are is on the about page.
