Name Change in Demat Account and Mutual Fund Folio in Jharkhand

Every other record on this website is checked by the office that holds it. The securities market is different. Your name in a demat account or a mutual fund folio sits behind a central KYC record, and SEBI requires that record to be verified against official databases, including the Income Tax Department database on PAN. That single fact changes the order of the whole job. It also raises the stake, because where those details cannot be verified the consequence is not a rejected form. It is that you are not allowed to transact further in the securities market until they are. So this page starts at PAN and works outward, and it tells you plainly which of the three layers your name is actually wrong in.

3Layers your name sits in, and only one is wrong
2Days a KRA gets to verify PAN, name and address
1KYC record sits behind every broker and fund
0Gazette notices needed to fix a spelling
Quick answer

Fix PAN first, then the KYC record, then the accounts. Your name in this market lives in three layers, and people waste months correcting the wrong one. Layer one is your PAN, because SEBI's May 2024 master circular requires KYC Registration Agencies to verify the PAN, name and address of all clients within two days of receipt of the KYC records, and a record counts as validated only where those attributes are verified with official databases such as the Income Tax Department database on PAN and the PAN and Aadhaar linkage has also been verified. Layer two is that KYC record itself, held by a KRA and now also uploaded to the Central KYC Records Registry, and it is shared across every broker, depository participant and fund house you deal with, which is why one correction can clear all of them at once. Layer three is the account: the demat account with your depository participant, and each mutual fund folio with the fund house or its registrar. So if the name on your PAN card is wrong, correcting the demat account achieves nothing and will not hold. And the cost of ignoring it is unusually high here: SEBI's own frequently asked questions state that clients whose KYC attributes cannot be verified will not be allowed to transact further in the securities market until they are. No gazette is needed for a spelling. A gazette belongs to the separate case where you are genuinely changing your own name.

Why PAN Is the Anchor for a Demat and Mutual Fund Name, Not Aadhaar

Name change in demat account and mutual fund folio in Jharkhand
Three layers hold your name here, and the one on top decides the other two.

On our provident fund page the anchor is Aadhaar, because the employer record is matched to it. On the motor side the anchor is the registration certificate. Here the anchor is PAN, and everything else follows from that, because the validation rule names the Income Tax Department database on PAN as the database your name is checked against.

The three layers a demat and mutual fund name sits in, who holds each and what it is checked against
The layerWho holds itWhat it is checked against, and how you know it is the problem
1. Your PANThe Income Tax DepartmentNothing above it. This is the database everything else is verified against. If the spelling on your PAN card is not the spelling you want, start here and nowhere else. Our PAN card name change page sets out that route
2. Your KYC recordA KYC Registration Agency, and now also the Central KYC Records RegistryVerified against the PAN database and against Aadhaar, with the PAN and Aadhaar linkage checked as well. You can look up your own status online with your PAN. If the record shows as not validated, this is your layer
3. The account or the folioYour depository participant for demat, and the fund house or its registrar for a folioExpected to agree with the KYC record. If your PAN and KYC are clean and only one old folio carries a maiden surname, this is your layer and it is the easiest of the three
This is the single most expensive mistake on this page. People write to the broker, the broker corrects the account, and six weeks later the same mismatch is back or the account will not transact. A record that is checked against a database cannot be corrected below the database. Work out which layer is wrong before you write one letter, because doing it in the wrong order costs the whole effort.
How to tell in ten minutes, without asking anybody. Put three things side by side: your PAN card, your Aadhaar, and the latest consolidated account statement that shows your demat holdings and your folios. Read them letter by letter. Then check your KYC status online using your PAN on any KRA website. Whichever of the three disagrees with the others is where the work is, and in our experience it is the folio far more often than the PAN.
Physical shares are a different page. If you are holding an old paper share certificate in a wrong name, that is not a demat question at all, because the record sits with the company and its registrar and transfer agent. That route is on our share certificate name change and correction page. This page is about holdings that are already in electronic form, and about mutual fund folios.

What KYC Validated Means in the Securities Market, and What a Name Mismatch Costs You

This is the part of the page that is written down in a regulator's circular rather than taken from practice, so it is worth reading slowly. It is also the reason a wrong name here is more serious than a wrong name on an electricity bill.

What the SEBI master circular and its frequently asked questions provide about validation of KYC records
What the rule saysWhat it means for you
KRAs shall verify PAN, name and address of records of all clients within two days of receipt of the KYC recordsYour name is not merely stored, it is checked, and quickly. This is the only verified turnaround figure we print anywhere in this cluster, and it is the regulator's own, not an estimate
Records are validated where those attributes are verified with official databases, such as the Income Tax Department database on PAN, and Aadhaar XML, DigiLocker or M-Aadhaar, and the PAN and Aadhaar linkage has also been verifiedThis names your anchor for you. A name that does not agree with the PAN database will not validate, however many times the broker retypes it
Clients whose KYC attributes cannot be verified will not be allowed to transact further in the securities market until the attributes are verifiedThe consequence is not a rejection letter. It is being stopped. This is why a name problem here should not be left for later, unlike a spelling on an insurance schedule
Where the PAN and Aadhaar linkage is not verified, a client may still transact with the existing intermediary subject to a valid PAN, but the KYC shall not be allowed portability in the securities marketA softer but very practical penalty. Your existing broker still works, and then you try to open an account somewhere else, or move a fund, and the record will not travel with you
KRAs are required to upload KYC information to the Central KYC Records RegistryThe direction of travel is one record, centrally held, rather than a file with each institution. Good news for anybody correcting a name once, and bad news for anybody hoping a mismatch stays quiet
Read your KYC status yourself, before anyone tells you what it is. A KRA lets you look up your own status with your PAN. Do that first. If the record is not validated, no amount of work at the broker's end will fix it, and if it is validated then a wrong name on a single old folio is a small local job. Two minutes of looking saves weeks of writing to the wrong office.
Why this makes one correction unusually valuable. Everywhere else on this site a correction buys you one clean record. Here, because the KYC record is shared across brokers, depository participants and fund houses, getting the name right once at the KYC layer clears the way at every one of them. It is the closest thing in Indian paperwork to fixing a name in one place and having it hold.
What we will not do on this page. We will not tell you that a particular broker or fund house needs a particular form, or charges a particular amount, or takes a particular number of days. We have not verified any of that, and it differs between them. What is above is from the regulator's own circular and its frequently asked questions. Everything about your own broker or fund house should come from them, in writing, and that written answer is your document list.

Correcting a Name in a Demat Account: Your DP, the Joint Holders and the Nomination

A demat account is not held with the depository directly. It is held through a depository participant, which may be a bank or a broker, and the depository is clear that account maintenance requests are made to the DP, in writing. So the letter goes to whoever opened the account for you, not to NSDL or CDSL.

Situations that come up in a demat account name correction and what each one actually is
Your situationWhat it actually is
Your name is spelt wrongly on the account, and your PAN is correctA genuine account level correction, and the easiest case on this page. The request goes in writing to your DP. Ask them what they need rather than arriving with a list from a website about another DP
Your PAN itself carries the wrong spellingThen the demat account is not your first problem. Correct the PAN, let the KYC record revalidate against it, and only then bring the account into line. Doing it the other way round does not hold
You have married and want your new surname on the accountA change of name rather than a correction, and the whole chain moves: PAN, then KYC, then the account. Our name change after marriage and Kumari or Devi to the husband surname pages deal with the choice itself
It is a joint account and the second holder's name is wrongEach holder has their own PAN and their own KYC record, and each is verified separately. So this is the same three layer job, done for that person, and the account cannot be cleaned by correcting only the first holder
The nominee's name is wrongNot a name change at all. A nomination can be changed or deleted at any time by the account holder by simply filling the nomination form and submitting it to the DP. You need nobody's permission and no proof of anything. Do this one straight away, because it is the easiest and the most often postponed
The bank account linked to the demat account is in a different form of your nameA separate record with its own route, and it matters at payout rather than at purchase. Our bank records page covers it
You want your signature changed, not your nameA different request with a different form. Do not fold the two into one letter, because a mixed request is the slowest kind
Do not close the account and open a fresh one to escape a name problem. It sounds tidy and it is the worst available option. Holdings have to be moved, the history is broken, and the new account is opened against the same KYC record that was the problem in the first place. The mismatch follows you into the new account, because it was never in the old one.
Write one letter, not four. Say what the entry reads now, what it should read, which document it is being brought into line with, and your PAN and client identity number. Ask for the acknowledgement in writing. One clear request with one decision in it is handled far better than a series of half explained ones, and it gives you a paper record if you need to escalate.

Correcting a Name in a Mutual Fund Folio: the Fund House and the Registrar

Mutual funds add one complication the demat side does not have. The same investor can hold units in two completely different ways, and each has its own route for a name.

The two ways mutual fund units are held and what that means for a name correction
How the units are heldWhere the name sits, and who corrects it
In a folio with the fund house, which is how most older investments are heldThe name sits in the folio record maintained by the fund house or by its registrar and transfer agent. The request goes there. One registrar services many fund houses, which is why a single correction can clear several of your funds at once
In demat form, sitting in your demat account alongside sharesThen there is no separate folio name to correct. The name is the demat account name, and the previous section applies. People write to the fund house for weeks before realising this
Some of each, which is very common after ten or fifteen years of investingThe usual real situation. Read your consolidated account statement, list which investments are folio held and which are demat held, and then you will know how many letters you are actually writing

The Eight Folio Problems We Actually See

1

The maiden name folio nobody consolidated

Bought before marriage, never touched since, still carrying the old surname while everything else moved on. It surfaces at redemption, which is the worst time. This is the single most common one.

2

Several folios with one PAN

Different fund houses, different distributors, different years, and the name typed slightly differently in each. Your PAN ties them together, which is exactly why the differences now show up.

3

The initial that was expanded, or was not

R. K. Mahato in one folio and Ram Kumar Mahato in another. Neither is wrong as a name. Our short name and full name page explains why this is not a spelling mistake at all.

4

The name in the wrong order

Surname typed first in one record and last in another, so the letters are all correct and the record still will not match. Our name order page deals with it.

5

The bank account that will not accept the credit

Redemption money has to reach a bank account, and that account has a name too. A folio corrected while the bank is left as it was simply moves the block one step down the chain.

6

A minor's folio at the age of eighteen

Status has to change from minor to major, and that is a separate process from a name correction. Deal with the status first, then the name, and expect them to be handled as two requests.

7

A folio of a family member who has died

Transmission, not a name change, and it has its own documents and its own rules. Do not try to correct a name into a survivor's name. That is the wrong process and it will be refused.

8

The nominee whose name is wrong

Corrected on the fund house or registrar's own nomination form, without needing to prove anything to anybody. Easy, free and usually forgotten.

The consolidated account statement is the document this page really runs on. It is a single statement showing your demat holdings and your mutual fund folios together against your PAN. Read it once, properly, and you will see every name variation you are carrying in one place. Almost nobody does, and that is why these problems are discovered at redemption instead of on a quiet evening.
Correct the name, and consolidate while you are at it. If you are already writing to a registrar about an old folio in a maiden name, that is the natural moment to ask what it takes to bring the scattered folios under one clean record. You are paying the effort once either way.

How to Change a Name in a Demat Account or Mutual Fund Folio, Step by Step

1

Settle the final form of your name

Letter by letter, with the spacing and the order you intend to keep. Decide it once, because you are about to push it through three layers and each repeat costs time.

2

Read your PAN card against your Aadhaar

This is layer one and layer one decides the rest. If the PAN spelling is not the one you want, stop here and fix the PAN before writing to anybody else.

3

Check your KYC status online with your PAN

On a KRA website. This tells you whether layer two is clean or whether the record is sitting unvalidated. It takes two minutes and it decides the whole plan.

4

Confirm the PAN and Aadhaar linkage

The validation rule checks it specifically. Without it the record does not fully validate, and your KYC will not be portable to another intermediary even if your current one keeps working.

5

Get the consolidated account statement and list every holding

Mark each one as demat held or folio held, and write down the exact name each carries. Now you know how many letters you are writing and to whom.

6

Fix the KYC record before the accounts

Because everything below it is expected to agree with it. Correcting a folio while the KYC record still carries the old name is work you will do twice.

7

Write to your DP for the demat account

In writing, with the old entry, the new entry, the document it matches and your client identity number. Ask what they need, and keep the acknowledgement.

8

Write to each fund house or registrar for the folios

One request per registrar rather than per fund where you can, since one registrar services many fund houses. Mention your PAN so they can find every folio under it.

9

Bring the linked bank account into line

Redemption and payout money has to land somewhere. A clean folio feeding a bank account in a different name just shifts the block to the last step.

10

Change the nominations, which cost nothing

On the DP's and the fund house's own nomination forms. No permission, no proof, no fee worth speaking of. Do it in the same week rather than the same decade.

11

Check every corrected record when it arrives

Letter by letter, on the next statement. A correction that introduces a fresh error is common, and it is far easier to catch now than at a redemption.

12

Keep the escalation route in reserve

The intermediary's own grievance channel first, and SEBI's investor grievance route after it. Build the paper record as you go so that route stays available.

Steps 2, 3 and 4 are the whole page. Everything after them is letter writing. Almost every long running demat or folio name problem we are shown started with somebody skipping straight to step 7, correcting the account, and finding the mismatch again a month later because the layer above it had never been touched.

Where a verification is already booked and time is short, read our name mismatch at document verification page, and to decide whether your case is a correction or a genuine change of name, our name correction against change of name page sets out the test.

Central Gazette Process for a Name From Jharkhand, and Where It Fits a Demat or Folio Change

Read this before the rest of this section. Nothing about a demat account or a mutual fund folio is ever published in a gazette. These are records held by a depository participant, a fund house or a registrar, and they are corrected by writing to them. This process matters to you in one situation only: where you are genuinely changing your own name across all your records, most often after a marriage or a divorce, and the demat account and the folios are simply records that follow afterwards. It is printed in full so you can see what a real file involves, and so you recognise at once when a gazette is being quoted to you for a spelling in a folio that a letter to the registrar would have fixed.

No district in Jharkhand has a gazette counter, so a genuine file goes from Ranchi, Jamshedpur, Dhanbad, Bokaro, Hazaribagh, Deoghar or anywhere else in the state to the Department of Publication, Civil Lines, Delhi 110054, and the notice publishes in Part IV of the Gazette of India. As reported in July 2025 the Finance Department stopped personal name change notifications from the Jharkhand Government Press with immediate effect, so there is no state alternative to fall back on.

The Eight Steps of a Name File Sent From Jharkhand

1

Settle the final name first

Letter by letter, with the spacing you want, and then use exactly that everywhere, PAN included. A corrigendum after publication is a second fee and a second wait.

2

Pick the category, then its proforma

A genuine change of name is change of Name Adult or Major. A wrongly typed spelling is the public notice for a wrongly written name. Twelve categories exist and only one is yours.

3

Type the proforma in duplicate

Two originals with two witnesses giving signature, full name, address and mobile number on both copies. A change of name is signed in the old name; a public notice is signed in your own name.

4

Fill the employment field if it is a change of name

The adult proforma asks for the post of the applicant and the office or company name, a field the public notice form does not have. Salaried applicants leave it blank and the file comes back.

5

Publish and keep the original paper

One of the daily local leading newspapers, carrying both names in full, the father or husband name and the residential address. The whole original paper goes in the file, not a cutting.

6

Pay only through BharatKosh

The Non Tax Receipt Portal and nowhere else since October 2018. Select the Department of Publication by name, read the amount the portal shows on the day, pay in your own name and print the e-receipt.

7

Check every date, then post it yourself

Nothing in the file older than one year. Personally or by post or courier only, never through an agent or advocate. Photocopy everything first, because nothing sent in comes back.

8

Read the notice, then update in the right order

Check every word the day it publishes, download the e-Gazette copy of that Part IV issue, and then work through PAN first, the KYC record next, and the demat account and folios after them.

The Five Papers in the File, and What Is Checked in Each

The five papers of a Central Gazette name file from Jharkhand and what the Department checks in each
The paperWhat is checked in it, clause by clause
1. The proforma, in duplicateThat it is the right category format; the existing full name exactly as your documents carry it; the new full name exactly as settled; the father or husband name; the full address with pin code; the post and office or company name where it is a change of name; the signature in the right name for the category; two witnesses complete with signature, full name, address and mobile number
2. The affidavit or undertakingThe same names and address as the proforma, word for word, with wording matching the category. On Rs 100 non-judicial stamp paper as our safe default
3. The original newspaperThe original paper, not a cutting; the paper name and date of publication visible; both names carried; the father or husband name and residential address; dated within the last year
4. Photographs, identity proof and any category paperTwo self attested passport photographs; self attested identity and address proof matching the proforma address; both witnesses proofs; and, in a public notice file, the attested photocopy of the connected document carrying the error
5. The CD, its certificate and the BharatKosh receiptMS Word, without the witness portion, with the name typed in place of the signature; the certificate that the hard copy and the soft copy are the same; the forwarding letter to the Controller of Publication with a telephone number and email; the e-receipt
The proforma is where files are lost, and there are twelve to choose from. A wrongly typed spelling filed on the change of name form declares henceforth be known as, claiming a change you never made. The Government charge already paid is not refunded, because BharatKosh payments are non-refundable. You then have six months to make good a shortcoming the Department points out, after which a fresh application with all new documents is required.
What to select on BharatKosh, field by field. Pay to the Department of Publication under the Ministry of Housing and Urban Affairs, and pick the Ministry, the Pay and Accounts Office and the Drawing and Disbursing Officer by their names in the dropdown, never by a code copied off a website. The codes printed for this office on different websites do not agree with each other, and money paid into the wrong head cannot be traced to your file. Read the amount on the portal on the day you pay, because it is revised each financial year.
If you have gazetted a change of name, use the gazette in the right order here too. A published notice does not push itself into your records. Take it to PAN first, because that is the database this market verifies against, then have the KYC record revalidated, and only then write to your depository participant and your registrars. A gazette copy handed to a broker while the PAN still carries the old name will not clear the mismatch.

The posting detail is on the sending the file to Delhi page, the change of name wording on the proforma format page and the public notice wording on the public notice proforma page, the charge by category on the fee and undertaking page, the reasons files come back on the rejection reasons page, and the download on the download page.

What a Demat and Mutual Fund Name Correction Costs in Jharkhand

Cost and time for a demat account and mutual fund folio name correction in Jharkhand
ItemCostTime
Checking your own KYC status online with your PANNothing. This is the highest value step on the page and it is free. Do it before you spend money on anything elseTwo minutes
Correcting the PAN, where PAN is the layer that is wrongThe Income Tax Department's own charge for a correction. We do not print it here, because we have not verified the current amount, and it is shown on the official portal at the time of applicationSet by the department. We do not print a timeline we have not verified
Having the KYC record verified by the KRAHandled through your intermediary. We print no charge, because we have not verified oneThe circular requires PAN, name and address to be verified within two days of receipt of the KYC records. That is the regulator's figure, and the only verified turnaround on this page
Correcting the demat account with your DPWhatever your depository participant charges, if anything. Ask your own DP in writing. Charges differ between them and we have verified noneSet by the DP
Correcting folios with a fund house or registrarSame position. Let the registrar's written answer be your list and your figure, rather than an amount written about a different fund houseSet by the registrar
Changing a nomination, on either sideEffectively nothing. It is the fund house's or the DP's own form, and it needs nobody's permission and no proof. The most postponed free job in this whole clusterThe same day you fill the form
Affidavit, where somebody asks for oneRs 100 non-judicial stamp paper and the notary charge. Two originals, because the office keeps one. Do not buy it before somebody asksThe same day
Government printing charge, only in a genuine change of your own nameThe guidelines print Rs 1,100 for an adult change of name and Rs 1,400 for a public notice, for FY 2016 to 2017, each with the caveat that the charge varies each financial year and from case to case. What BharatKosh shows on the payment screen the day you pay is the figure that countsPart IV publishes weekly, so allow several weeks from posting
Our chargeQuoted on your papers before you pay anything, and confirmed in writing. We print no service price on any page of this site
Do not trust a figure printed on any website, including this one, on the day you pay. The Department's own guidelines say the printing charge varies each financial year and from case to case, so the figures above are what the published guidelines show for 2016 to 2017 and are given so you know the order of the amount, not the amount. What BharatKosh shows when you reach the payment screen is the one that counts. Read it there and pay that.
The real cost here is almost never the fee. It is the transaction you could not do. A record that will not validate means you are not allowed to transact further in the securities market until it does, and a record without a verified PAN and Aadhaar linkage cannot be carried to another intermediary. Neither of those shows up as a charge on a bill, and both are more expensive than every fee on this table put together. The line items across all records are on our name change cost page.

Myths About Demat and Mutual Fund Name Corrections

Common beliefs about demat and mutual fund name corrections and what is actually correct
What people are toldWhat is actually so
You need a gazette notification to correct a name in a demat account or a folioYou do not. Nothing here is ever published. A demat account is corrected by writing to your depository participant and a folio by writing to the fund house or its registrar. A gazette belongs to the separate case where you are genuinely changing your own name across all your records
Correct the demat account and the rest will followBackwards. Your record here is verified against official databases, including the Income Tax Department database on PAN. Nothing corrected below that database holds. PAN first, then KYC, then the account
Aadhaar is the master record, as it is everywhere elseAadhaar matters here, and the PAN and Aadhaar linkage is checked by name, but the anchor in this market is PAN. That is the one difference that reorders the whole job compared with our provident fund page
A small spelling difference will not matter until you sellIt can matter much sooner. Where KYC attributes cannot be verified, the client will not be allowed to transact further in the securities market until they are. That is a stop, not a warning letter
Every broker and fund keeps its own KYC, so you must fix each one separatelyNo, and this is good news. The KYC record sits with a KYC Registration Agency and is now also uploaded to the Central KYC Records Registry, shared across intermediaries. Getting the name right once at that layer clears the way at all of them
Close the account and open a fresh one in the correct nameThe worst available option. Holdings must be moved, the history breaks, and the new account is opened against the same KYC record that was the problem. The mismatch follows you
Your old paper share certificates are part of the same jobThey are not. A physical certificate is a record of the company and its registrar, and it has its own route on our share certificate name change page
You need permission or proof to correct a nominee's nameYou do not. A nomination can be changed or deleted at any time by simply filling the nomination form and giving it to the DP, and the fund house side works the same way. Free, immediate, and almost always postponed
If your current broker still lets you trade, the record must be fineNot necessarily. Without a verified PAN and Aadhaar linkage you may still transact with your existing intermediary on a valid PAN, while your KYC is not allowed portability. You find out the day you try to move
Any broker's or fund house's document list will doRequirements differ between depository participants, fund houses and registrars. Ask your own, in writing, and let that answer be your list. We print none, because we have verified none
The two minute habit that replaces this whole page. Once a year, look up your KYC status online with your PAN, and read the name on your consolidated account statement against your PAN card. If both agree, you have nothing to do. If they do not, you have found it years before a redemption or an account opening would have found it for you.

Key Terms in a Demat and Mutual Fund Name Correction

Key terms used when correcting a name in a demat account or a mutual fund folio
TermWhat it means in practice
Demat accountThe account that holds your shares and other securities in electronic form instead of on paper
Depository participant, or DPThe bank or broker through whom your demat account is held. The office your name correction letter goes to, rather than the depository itself
DepositoryThe institution that holds securities in electronic form behind the DP. In India, NSDL and CDSL
FolioYour account with a mutual fund house. Units can be held this way or in demat form, and the two have different routes for a name
Registrar and transfer agent, or RTAThe agency that maintains investor records for fund houses. One registrar services many fund houses, so one request can cover several of your funds
KYC Registration Agency, or KRAThe SEBI registered agency that holds and verifies your KYC record for the securities market. Layer two on this page
Central KYC Records RegistryThe central registry that KRAs are required to upload KYC information to, so one record serves more than one part of the financial system
KYC ValidatedThe status where PAN, name and address have been verified against official databases and the PAN and Aadhaar linkage has been verified. The status you are actually working towards
PortabilityYour KYC record being usable at another intermediary. Withheld where the PAN and Aadhaar linkage is not verified, even while your current intermediary keeps working
Consolidated account statementA single statement showing your demat holdings and your mutual fund folios together against your PAN. The one document that shows every name variation you carry
NominationWho receives the holding. Changed at any time on the DP's or the fund house's own form, with no proof and no permission needed
TransmissionPassing a holding on after a death. A separate process with its own documents, and never to be attempted as a name correction

Demat and Mutual Fund Name Change: Frequently Asked Questions

Do I need a gazette notification to change my name in a demat account or a mutual fund folio?+
No. Nothing about a demat account or a folio is ever published in a gazette. A demat account is corrected by writing to your depository participant and a folio by writing to the fund house or its registrar. A gazette belongs to the separate case where you are genuinely changing your own name across all your records, most often after a marriage or a divorce, and even then the demat account and the folios are simply records that follow afterwards.
Which record should I correct first, the PAN, the KYC or the account?+
PAN first, then the KYC record, then the account or folio. The reason is in the rule itself: a KYC record counts as validated only where the attributes are verified with official databases such as the Income Tax Department database on PAN, and the PAN and Aadhaar linkage has also been verified. So the PAN database is what your name is measured against. Anything corrected below it does not hold, which is why correcting the broker's record first is the most common wasted effort on this page.
What happens if my name will not validate?+
SEBI's own frequently asked questions state that clients whose KYC attributes cannot be verified by KRAs will not be allowed to transact further in the securities market until the attributes are verified. That is a stop rather than a warning, and it is the main reason not to leave a name problem here for later. Separately, where the PAN and Aadhaar linkage is not verified, you may still be able to transact with your existing intermediary on a valid PAN, but your KYC will not be allowed portability, so you find out the day you try to open an account elsewhere.
How long does the KRA take to verify my details?+
The circular requires KRAs to verify the PAN, name and address of records of all clients within two days of receipt of the KYC records. That is the regulator's own figure and the only verified turnaround we print on this page. It is not the same as how long your broker, fund house or registrar takes to process your request, and we do not print those, because we have not verified them. Ask your own intermediary in writing.
I fixed my demat account but the problem came back. Why?+
Because the layer above it was never touched. The account is expected to agree with the KYC record, and the KYC record is verified against the PAN database. If the PAN or the KYC record still carries the old name, an account corrected by hand drifts back into a mismatch at the next check. Start at the top, not at the bottom.
Do I have to write to every fund house separately?+
Often not. Many fund houses use the same registrar and transfer agent, so one properly drafted request to a registrar, quoting your PAN, can cover several of your funds at once. Get your consolidated account statement first and group your holdings by registrar before writing anything. And where units are held in demat form rather than in a folio, there is no folio name to correct at all, because the name is the demat account name.
My old folio is still in my maiden surname. Is that urgent?+
It is the most common problem on this page and it should be dealt with before a redemption, not during one. The folio was opened before the marriage and nothing has touched it since. Bring it into line with the name your PAN now carries, and check the bank account the redemption money is meant to reach while you are at it. The choice of surname itself is on our Kumari or Devi to the husband surname page and the route on our name change after marriage page.
What about my old paper share certificates?+
Different job entirely. A physical certificate is a record held by the company and its registrar, not by a depository participant, and it has its own process. That route is on our share certificate name change and correction page. This page deals with holdings already in electronic form and with mutual fund folios.
Can I correct the name on a joint demat account by fixing only the first holder?+
No. Each holder has their own PAN and their own KYC record, and each is verified separately. So a joint account with a wrong second holder name is the same three layer job done for that person. Work out which of their layers is wrong before writing, exactly as you would for yourself.
Is my initial being expanded a spelling mistake?+
No, and treating it as one sends you down the wrong route. R. K. Mahato and Ram Kumar Mahato are the same name recorded at different lengths, not a misspelling. It still causes a mismatch, and it is still worth settling on one form everywhere. Our short name and full name page explains the distinction, and where the words are right but in the wrong boxes, our name order page covers it.
Should I just close the account and open a new one in the correct name?+
Please do not. Holdings have to be moved, the record of what you held and when is broken, and the new account is opened against the same KYC record that was causing the trouble. The mismatch was never in the account, so a new account does not escape it. Correct the layer that is actually wrong instead.
Do you deal with the investment side of this, or only the name?+
Only the name, and only the documents. We are a documentation consultancy and we are not advocates, not a broker, not a depository participant, not a fund house and not an investment adviser. We will not advise you on what to buy, sell or hold, and we will not tell you what any intermediary will charge or how long it will take, because we have not verified that. What we will do is read your papers, tell you which of the three layers your name is wrong in, and draft the requests.

Who wrote and checked this page

Written and maintained by the Jharkhandnamechange.com documentation desk, led by founder Vipin Chauhan, B.Tech LL.B, with 5+ years filing with the Department of Publication. The validation position on this page rests on the SEBI master circular for KYC norms for the securities market dated 14 May 2024, which requires KRAs to verify the PAN, name and address of records of all clients within two days of receipt of the KYC records, and treats records as validated where those attributes are verified with official databases, such as the Income Tax Department database on PAN, Aadhaar XML, DigiLocker or M-Aadhaar, and the PAN and Aadhaar linkage has also been verified. The consequences stated here are from SEBI's accompanying frequently asked questions, which provide that clients whose attributes cannot be verified will not be allowed to transact further in the securities market until they are, and that a client without a verified PAN and Aadhaar linkage may transact with the existing intermediary on a valid PAN while the KYC shall not be allowed portability. That KRAs upload KYC information to the Central KYC Records Registry is from the separate SEBI circular of 6 June 2024. That demat account maintenance requests are made in writing to the depository participant, and that a nomination may be changed or deleted at any time by simply filling the nomination form and submitting it to the DP, is from NSDL's own published account maintenance information. We print no broker, depository participant, fund house or registrar document list, charge or processing timeline anywhere on this page, because those differ between them and we have verified none, and the page tells the reader to let their own intermediary's written answer be the list. The four folio problems and the three layer diagnosis are our own working practice from handling these files, not a published rule, and are described as such. The gazette category positions and the printing charges shown are from the Department of Publication's own published guidelines for FY 2016 to 2017, with the guidelines' own caveat that they vary each financial year and from case to case. We are a documentation consultancy and not advocates, not a broker, not a depository participant, not a fund house and not an investment adviser. Who we are is on the about page.

Official Sources on Demat and Mutual Fund Name Records

A Demat and Mutual Fund Name Change in Eight Lines

The short version

  • Your name sits in three layers: PAN, the KYC record, then the account.
  • PAN is the anchor, because that is the database it is verified against.
  • KRAs verify PAN, name and address within two days of the records.
  • A record that will not validate stops you transacting until it does.
  • No verified PAN and Aadhaar linkage means no KYC portability.
  • One KYC correction clears the way at every broker and fund house.
  • Demat goes to your DP; a folio goes to the fund house or registrar.
  • No gazette for a spelling, and never close an account to escape one.

Send the PAN, the Aadhaar and the consolidated account statement, and we will tell you which layer is wrong.

Most people write to the broker first. The record is verified against the Income Tax Department database on PAN, so the broker is usually the last step, not the first.
