Short Name and Full Name Difference in Documents in Jharkhand
Your school record says Raju and everything else says Rajesh Kumar. Or your Class 10 says R. K. Singh and your passport says Rajesh Kumar Singh. Or the Kumar in the middle is simply missing from your Aadhaar. This is not a spelling mistake and treating it like one is why these files fail. Nothing here was written wrongly. A real, shorter name was used, and the question is whether you can prove the longer one was always yours. That single question decides whether your case is a quick correction or a full change of name, and it has nothing to do with which version you prefer.
Ask one question and the whole file follows from the answer: does any record already carry the full form of your name? If a birth certificate, a board certificate or an old service record already says Rajesh Kumar Singh, then the short version on the other paper is an incomplete entry, you are only adding back what was always yours, and the correction route applies. If no record anywhere carries the longer form, then taking it now means taking a name none of your papers ever gave you, and that is a change of name however natural it feels. The same test runs the other way and this is the part that surprises people. Dropping a name you do have, for example going from Rajesh Kumar Singh to Rajesh Singh, is almost always a change of name, because no document in the world can prove you are only Rajesh Singh. The Department of Publication publishes twelve categories of notification and there is no category for removing a surname, no category for an alias, and no category for a one and the same person notice. So the rule to carry into every office is short: adding back is usually a correction, giving up is usually a change of name. Before anything else, put your papers in date order and find the oldest one that carries your name in full. That paper is your case.
Four Kinds of Short Name and Full Name Difference, and Why They Are Not the Same Case
People bring all four of these to us as one complaint, that the name is short on one paper. They are four separate situations with four different answers, and the first job is to say out loud which one you have.
| The situation | What it actually is |
|---|---|
| 1. The pet name. The school record carries Raju, Munna, Guddu, Chhotu or Babli, and every later paper carries the proper name | The family gave the name it used at home when the child was admitted. This is a different name, not a short form, and it is the hardest of the four, because Raju is not contained inside Rajesh in any way an office can see. Everything depends on whether an older record carries the proper name |
| 2. The initials. The certificate says R. K. Singh and the passport or Aadhaar says Rajesh Kumar Singh | The easiest of the four. The initials are the first letters of the full name, in the same order, so the two forms visibly belong together. Expanding them is adding back, and any record carrying the full words settles it |
| 3. The dropped middle name. Rajesh Kumar Singh on the board certificate, Rajesh Singh on the Aadhaar or the bank | Usually a form with too few boxes, or a clerk who treated Kumar as optional. Adding it back is a correction wherever a record carries it. Dropping it deliberately is a different matter altogether |
| 4. The dropped surname or the added one. Rajesh Kumar on one paper, Rajesh Kumar Singh on another, or a single name with nothing after it | Which way you are going decides everything. Adding back a surname your birth or school record carries is a correction. Removing one you do have is a change of name, and a person who has no surname at all and wants one is a third case again, covered on our adding a surname to a single name page |
Which Record Already Carries Your Full Name, and Why That Decides Everything
Put every paper that carries your name in date order, oldest first. Birth certificate, school admission record, Class 10, Class 12, degree, PAN, Aadhaar, passport, service book, bank. Now read down the list and find the earliest paper that carries the full form. That paper decides your route, and nothing else does.
| What your papers show | Which route it is |
|---|---|
| An older record already carries the full name, and the short form appears only on later papers | Correction. You are adding back what was always yours, and you have the paper that proves it. Apply to the office holding the short entry, attach the older record, and ask for the entry to be completed. In most offices this does not need a published notice at all |
| The short form is on the oldest record and the full form appears only later, for example Raju on the school record and Rajesh on everything after it | Usually a change of name, unless the birth record saves you. The oldest paper is the one offices trust, so the burden runs the other way. Get a copy of the birth register entry before deciding anything |
| You want to drop part of your name, for example from Rajesh Kumar Singh to Rajesh Singh | Change of name. No document can prove you are only Rajesh Singh, because no office ever recorded you that way. The Department of Publication's twelve categories include no removal of surname category, so this goes through the ordinary change of name route |
| Both forms appear across your papers with no clear oldest, because records were made at the same time | Then choose once and make everything match. Prefer the form on the Class 10 certificate, since the Department itself names the 10th certificate and the birth certificate as proof of an old name, and it is the paper a verification desk will reach for |
| The short form is only used socially and appears on no document at all | Then there is nothing to fix. What people call you is not a record. Do not open an application to make your documents match a name nobody wrote down |
Initials on a Certificate and the Full Name on Your Passport
This is the version that turns up most often, and it usually turns up at the worst moment: at a recruitment verification, a passport counter, a university admission abroad or a background check. The certificate says R. K. Singh. The passport says Rajesh Kumar Singh. Nobody made a mistake, and yet the two papers do not match on their face.
| The question | The practical answer |
|---|---|
| Is expanding initials a change of name? | No. The initials are the first letters of the same words in the same order, so you are not taking a new name, you are writing out the one you have. Produce any record carrying the words in full and the link is visible to anybody |
| Which record proves the expansion? | Whichever paper carries the full words: the birth certificate, the school admission form, a Class 12 certificate, a service book or an old passport. Attach it to the application and to the affidavit |
| Do I have to get the certificate itself changed? | Often no. Many verification desks accept the affidavit plus the proving record and move on. Ask the desk in writing what it needs before opening a board file, because a board correction is the slowest step in the whole chain |
| What should the affidavit say? | That the initials on the named certificate stand for the full words, that both refer to one and the same person, and that no name has been changed. Quote the entry exactly as printed, including the full stops and spacing |
| The initials on the certificate do not match my full name | Then this is not an expansion case at all. If the certificate says R. K. Singh and your full name is Rajesh Prasad Singh, the K stands for nothing you hold, and you have a real difference that needs the papers read before anything is drafted |
| My surname itself is written as initials | The same logic applies, but it is read more strictly, because a surname carries more weight at verification. Expect to be asked for the record carrying the surname in full, and take it with you the first time |
How to Fix a Short Name and Full Name Difference in Jharkhand, Step by Step
Put every paper in date order
Oldest first, birth certificate at the top. This one act answers most of the questions people ring us with, because the route is decided by which record came first and not by which is more convenient.
Name which of the four you have
Pet name, initials, dropped middle name, or dropped surname. Write it down in one sentence. A file that cannot say which it is gets drafted as a spelling case and fails.
Get the birth register entry
Not a reprint, the original register entry from the office for the place of birth. In a pet name case this is usually the paper that decides whether you have a correction or a change of name.
Settle the final full name once
Letter by letter, with the spacing you want, including whether the middle name stays. Then use exactly that everywhere. Changing your mind halfway is what makes these files expensive.
Ask each office in writing what it needs
Many accept an affidavit plus the proving record for an expansion and never ask for a published notice. Asking first costs a letter and can save the entire gazette step.
Use the right words in the affidavit
For an expansion, that the initials stand for the full words. For an incomplete entry, that the name was recorded incompletely. Never that the spelling is wrong, because it is not, and never that you changed your name unless you did.
Correct the board record first where the board is short
Every later paper was copied from it. Doing Aadhaar or the bank first means doing them twice, and Aadhaar charges per attempt with no refund.
Keep a received stamp on every application
On your own copy, every time. A short name file usually touches the board, the Registrar, PAN, Aadhaar, the bank and an employer before it is finished.
Where the difference is a spelling drift rather than a short form, start at name spelling correction. Where you actually want to remove a surname, the route is on our removing a surname or caste name page. The affidavit rules are on the name change affidavit page.
Central Gazette Process for a Name From Jharkhand, and Which Category a Short Name Uses
No district in Jharkhand has a gazette counter, so the file goes from Ranchi, Jamshedpur, Dhanbad, Bokaro, Hazaribagh, Deoghar or anywhere else in the state to the Department of Publication, Civil Lines, Delhi 110054, and the notice publishes in Part IV of the Gazette of India. As reported in July 2025 the Finance Department stopped personal name change notifications from the Jharkhand Government Press with immediate effect, so there is no state alternative to fall back on.
The Eight Steps of a Name File Sent From Jharkhand
Settle the final full name first
Letter by letter, with the spacing you want and a decision on whether the middle name stays. Then use exactly that in every paper. A corrigendum after publication is a second fee and a second wait.
Pick the category, then its proforma
Adding back an existing name is the public notice. Dropping a name, or taking one no record carries, is change of name adult or major. Twelve categories exist and only one is yours.
Type the proforma in duplicate
Two originals with two witnesses giving signature, full name, address and mobile number on both. A change of name is signed in the old name; a public notice is signed in your own name, because nothing is changing.
Fill the employment field if it is a change of name
The adult change of name proforma asks for the post of the applicant and the office or company name, a field the public notice form does not have. People leave it blank and the file comes back.
Publish and keep the original paper
One of the daily local leading newspapers, carrying both forms of the name in full, the father or husband name and the residential address. The whole original paper goes in the file, not a cutting.
Pay only through BharatKosh
The Non Tax Receipt Portal and nowhere else since October 2018. Select the Department of Publication by name, read the amount the portal shows on the day, pay in your own name and print the e-receipt.
Check every date, then post it yourself
Nothing in the file older than one year. Personally or by post or courier only, never through an agent or advocate. Photocopy everything first, because nothing sent in comes back.
Read the notice, then download it
Check both forms of the name letter by letter the day it publishes, note the page and issue number, and download the e-Gazette copy of that Part IV issue.
The Five Papers in the File, and What Is Checked in Each
| The paper | What is checked in it, clause by clause |
|---|---|
| 1. The proforma, in duplicate | That it is the right category format; the short form exactly as printed on the certificate named; the full form exactly as settled; the father or husband name; the full address with pin code; the post and office or company name where it is a change of name; the signature in the old name for a change of name and in your own name for a public notice; two witnesses complete with signature, full name, address and mobile number |
| 2. The affidavit or undertaking | The same names and address as the proforma, word for word; wording that matches the category, meaning incompletely recorded or stands for in an adding back case and henceforth be known as only in a genuine change; on Rs 100 non-judicial stamp paper as our safe default |
| 3. The original newspaper | The original paper, not a cutting; the paper name and date of publication visible; both forms of the name carried; the father or husband name and residential address; dated within the last year |
| 4. Photographs, identity proof and the connected document | Two self attested passport photographs; self attested identity and address proof matching the proforma address; both witnesses proofs; and, in a public notice file, the attested photocopy of the connected document, meaning the certificate carrying the short entry. That last paper is the one a change of name file never needs and a public notice file always does |
| 5. The CD, its certificate and the BharatKosh receipt | MS Word, without the witness portion, with the name typed in place of the signature; the certificate that the hard copy and the soft copy are the same; the forwarding letter to the Controller of Publication with a telephone number and email; the e-receipt |
The posting detail is on the sending the file to Delhi page, the change of name wording on the proforma format page and the public notice wording on the public notice proforma page, the charge by category on the fee and undertaking page, the reasons files come back on the rejection reasons page, and the download on the download page.
What a Short Name and Full Name Difference Costs in Jharkhand
| Item | Cost | Time |
|---|---|---|
| An expansion of initials accepted on an affidavit, which is very common | Rs 100 non-judicial stamp paper and the notary charge, and nothing else. No publication and no gazette. Ask the receiving office in writing before assuming you need more | The same day |
| Adding back a name an older record carries, at the office holding the short entry | The office own charge. We do not print office, board or Registrar charges we have not verified, and we never print the JAC correction fee, because the figures circulating online belong to other boards | Set by the office. We do not print a timeline we have not verified |
| Birth register entry copy, which decides most pet name cases | The Registrar office own charge, plus Rs 10 for an RTI application where a school register page has to be obtained that way | Set by the office |
| Government printing charge, public notice, where an adding back case has to be published | The guidelines print Rs 1,400 for a public notice for FY 2016 to 2017. Note that this is more than the change of name figure, so nobody is saving you money by pushing you into the wrong category | Part IV publishes weekly, so allow several weeks from posting |
| Government printing charge, change of name, where you are dropping a name or taking a new full name | The guidelines print Rs 1,100 for an adult change of name for FY 2016 to 2017, and Rs 3,500 for an Indian living abroad. Every category adds that the charge varies each financial year and from case to case. What BharatKosh shows on the payment screen the day you pay is the figure that counts | Part IV publishes weekly, so allow several weeks from posting |
| Newspaper, in a published case only | Paid to the paper, charged by length. One original advertisement is what the guidelines ask for, and a second paper is office practice rather than a stated rule | Same week |
| Post or courier to Delhi, in a published case only | Sent in your own name from any district, and keep the receipt | A few days each way |
| Updating the records afterwards | Aadhaar charges a fee per attempt with no refund, and PAN, bank and the rest have their own small charges | Several weeks across all of them |
| Our charge | Quoted on your papers before you pay anything, and confirmed in writing. We print no service price on any page of this site | |
The cheapest version of this problem is an expansion accepted on an affidavit, and a surprising number of cases are exactly that. The expensive version is the one where nobody asked the receiving office what it wanted and a full published file was prepared for an initial that only needed explaining. Our name change cost page sets out the line items in full.
Send the papers in date order
Send the papers in date order, oldest first, because that is what decides your route. The birth certificate matters most and it is the one people leave out. Then the school admission record if the family kept a copy, the Class 10 and Class 12 certificates, the degree, PAN, Aadhaar, the passport if you hold one, and the bank passbook page. Our first reply tells you which of the four situations you have, whether you are adding back or giving up, and therefore whether this is a correction or a change of name. Where an affidavit and one proving record will do it, we will say so, even though it is the smaller job. Details on the contact page.

Myths About a Short Name on Documents
| What people are told | What is actually so |
|---|---|
| A short name on a certificate is a spelling mistake | It is not. Every letter is correctly spelt. Raju, R. K. Singh and Rajesh Singh are all spelt correctly. Filing it as a spelling error describes something the clerk can see is untrue, which is why these applications come back |
| Expanding initials is a change of name | No. The initials are the first letters of the same words in the same order, so you are writing out the name you already have. Produce a record carrying the words in full and the link is visible to anyone |
| Dropping a surname is easier than adding one | The opposite is true, and this surprises almost everybody. To add back you hand over a record that already carries the name. To drop, you have nothing to hand over, because no register ever recorded you without it. There is also no removal of surname category among the twelve the Department publishes |
| Whichever name you have used longest is the real one | Use does not create a record. The route is decided by which paper came first and what it says, not by how long you have signed a name |
| A pet name on the school record is a small fix | It is usually the hardest of the four, because Raju is not contained inside Rajesh in any way an office can see. If no older record carries the proper name, it is a change of name and should be filed as one |
| The public notice route is the cheap option | Not on the published figures. For 2016 to 2017 the guidelines print Rs 1,400 for a public notice against Rs 1,100 for an adult change of name. Nobody is saving you money by pushing you into the wrong category |
| You must get the certificate itself changed first | Often not. Many verification desks accept an affidavit plus the proving record for an expansion. Ask the receiving office in writing before opening a board file, because the board is the slowest step in the chain |
| You can expand the initials and fix the surname in one go | That is two things, and the second is a different surname, not an expansion. Doing both at once turns an easy file into a change of name. Expand exactly, then deal with anything else separately |
Key Terms in a Short Name and Full Name Case
| Term | What it means in practice |
|---|---|
| Short form | A correctly spelt but incomplete version of your name, such as initials or a dropped middle name. Not a misspelling, which is why the spelling route does not fit it |
| Pet name | The name a family uses at home, such as Raju, Munna or Guddu, which sometimes reaches the school register at admission. A different name, not a short form |
| Expansion | Writing initials out in full, where the letters stand for the same words in the same order. Adding back, not changing |
| Adding back | Restoring a part of your name that an older record already carries. The correction side of this page, and the easier one |
| Giving up | Removing part of your name, or taking a full name no record ever gave you. A change of name, because no document can prove an absence |
| Incompletely recorded | The wording for an entry that is right as far as it goes but leaves part of the name out. The phrase to use instead of calling it a spelling error |
| One and the same person | A declaration that two forms of a name belong to one person. The line an office actually needs from your affidavit |
| Anchor document | The oldest record carrying your name in full, usually the birth certificate or the Class 10 certificate. Whatever it says is the case you can make |
| Register entry | The original record held by the office, as against the printed certificate you hold. The two are not always identical, and in a pet name case the difference can decide everything |
| Connected document | The attested photocopy of the certificate carrying the short entry. A public notice file always needs it and a change of name file never does |
| Change of name proforma | The form that says henceforth be known as, signed in the old name, and the only one that asks for your post and office or company name |
| Received stamp | The office acknowledgement on your own copy of the application. Without it, an application never happened |
