Alias Name in a Gazette Notification for Jharkhand
Two documents, two versions of your name, and somebody has told you to get an alias published in the gazette so both can stand. Before you spend anything, one fact that almost no page will tell you. The Department of Publication publishes twelve notice categories, and not one of them is an alias or a one and the same person category. There is no such form to fill. Lawyers answering this question in public forums disagree with each other about whether a gazette is even the right instrument for it. What does exist is the public notice category for a name wrongly written, a change of name category for a chosen new name, and a notarised one and the same person affidavit, which is what most offices in Jharkhand actually ask for. This page sorts out which of the three your case needs, and says plainly when the answer is that you need no gazette at all.
There is no alias form at the Department of Publication. Its published guidelines list twelve categories, covering a public notice for a wrongly written name, a change of name for an adult or a minor, a maiden surname, a different surname, name and gender, religion, adoption and a few matters that are not about names at all, and none of them is an alias or a one and the same person notice. Lawyers answering this question in public forums split three ways, some saying a gazette has no such form, others saying it can be done as a name change carrying an alias. So the practical answer for somebody in Ranchi or Dhanbad with two versions of a name on two live documents is to choose between three real instruments. First, a notarised one and the same person affidavit, which costs a few hundred rupees, needs no gazette, and is what most banks, employers and colleges in Jharkhand actually ask for. Second, a public notice, where one of the two versions is genuinely a misprint, which declares the wrong version and states the correct one, and is the right answer where the two versions are not both correct. Third, a change of name, where you have decided to be known by one version from now on and are ready for the older one to become a former name. What almost nobody needs is a gazette notice whose only purpose is to say that both names are equally yours forever, because no category of the Gazette is built to say that. Where an employer or a bank has asked for a gazette in writing, ask which of these they mean, and we will tell you what that particular office normally accepts.
Why There Is No Alias Name Category in the Gazette of India
Open the Department of Publication's own guidelines list and count the categories. There are twelve: notification of public notice, change of name for an adult or major, change of name for a minor, adopting a maiden surname, adopting a different surname, change of name and gender, change of religion, adoption of a child, a public notice for a change of name of a minor after divorce, lost destroyed and stolen notices, a Part III Section IV notification, and transmission lines. Read that list twice and you will not find an alias.
That matters because every category has its own proforma with its own fixed opening sentence. A public notice says a name has been wrongly written as something. A change of name says the applicant hitherto known as one name shall hereafter be known as another. Neither sentence says that two names are both correct and both permanent. There is no blank on any of those forms for that idea, because the Gazette is built to record a correction or a change, not a permanent double identity.
The Three Real Routes When Two Documents Carry Two Names
Everything anybody can honestly do for you is one of these three. Read the middle column and find your own sentence in it.
| The route | The sentence that has to be true | What it gets you |
|---|---|---|
| One and the same person affidavit No gazette | "Both these documents belong to me, and I am one and the same person." | A notarised sworn statement, usually on Rs 100 non-judicial stamp paper, linking the two versions. Cheap, quick, and what most banks, employers, colleges and insurers in Jharkhand actually ask for |
| Public notice Gazette, correction category | "One of these versions was written wrongly. The correct one is this." | A Government publication settling which spelling is correct, so no office can argue. The right answer where the two versions are not both correct |
| Change of name Gazette, change category | "I have decided to be known by this version from now on." | A published notice that the older name is a former name. Everything afterwards moves to the new one, and old certificates keep the old name with a linking letter |
| An alias notice | "Both names are mine, equally, forever." | No category exists for this. Anyone selling it is selling you one of the three above under a different name, or something that will not publish |
Which One Fits the Commonest Jharkhand Cases
Marksheet says one thing, Aadhaar another
Almost always a misprint somewhere, not two real names. Find which record is right, and fix the wrong one. Start at the school admission register, because a free board correction beats every paid route. The marksheet and Aadhaar page covers it.
Maiden name on old papers, married name on new ones
Not an alias at all. A marriage certificate usually does the linking work by itself, and many offices accept it without any gazette. The marriage page sets out which offices need what.
Hembrom on one paper, Hembram on another
Neither spelling is wrong in the language, but a panel reads them as two people. Here the honest answer is usually to pick the anchor version, normally the Class 10 certificate, and correct the rest. The tribal surname page has the routing.
How to Decide Between an Affidavit, a Public Notice and a Name Change
Write both versions down
Exactly as each document prints them, letter for letter. Then note which document each one is on, and which of those documents you use most often.
Ask which office is actually refusing you
Not the general problem, the specific counter. A bank, an employer, a board, a passport office. Each accepts different things, and the answer changes with the office.
Ask that office in writing what it needs
An affidavit, a gazette, or an update in their own record. Get it on paper or on email. This single step saves more money than anything else on this page.
Try the affidavit first
A one and the same person affidavit on Rs 100 non-judicial stamp paper with a notary. If the office accepts it, stop here.
If it is a misprint, use the public notice
Where one version was written wrongly and the other is correct, the public notice category is the honest fit. It names the wrong version and states the correct one.
If you have chosen one version, use change of name
Where you want one version to be your name going forward and are content for the other to become a former name, that is the change of name category, signed in the old name.
Fix the records in one direction
Whichever route you take, move every record towards a single version afterwards. Two live versions is the problem, and leaving it half done recreates it.
Keep the whole set together for life
The affidavit or the gazette copy, the newspaper page, and both documents. Years later a promotion or a passport renewal will ask, and the family that can produce the set in a minute never has trouble.
How a Gazette Notice Records Two Versions of a Name
Where a gazette genuinely is the right route, here is what the form can and cannot be made to say, in the Department's own words.
Read that carefully and you will see why it half answers the alias question. Both versions do appear in print. Any office reading the notice sees the two spellings side by side and can link them. What the notice also does, however, is say which one is correct. It records a relationship between the two names, and it does not treat them as equal.
| What you want it to say | What the form can do |
|---|---|
| "Both versions appear in one Government publication so offices can link them" | Yes. A public notice prints the wrong version and the correct version together, which is the linking effect people are really after |
| "The correct version is stated, so nobody argues" | Yes. That is exactly what the category is for |
| "My old certificates are explained without being reissued" | Usually yes in practice. The notice travels with the old certificate, and a board or university often records a linking entry rather than reprinting |
| "Both names remain equally valid for me from now on" | No. No category is written to say that. The form states which is correct, or announces a change |
| "The notice covers my father's name too" | Yes. The relationship line covers a father, mother, minor son, minor daughter, wife and husband, so one notice can carry more than one name |
Central Gazette Public Notice Process From Jharkhand, Step by Step, Where a Notice Is the Right Route
If the affidavit has been refused and a notice is genuinely needed, this is the whole of it. No district in Jharkhand has a gazette counter, so the file goes from Ranchi, Jamshedpur, Dhanbad, Bokaro, Hazaribagh or anywhere else in the state to the Department of Publication, Civil Lines, Delhi 110054, and the notice publishes in Part IV of the Gazette of India. As reported in July 2025 the Finance Department stopped personal name change notifications from the Jharkhand Government Press with immediate effect, so there is no state route to fall back on.
The Eight Steps of a Central Gazette File Sent From Jharkhand
Decide which version is the correct one
This is the step people try to avoid, and it is the one the form forces. Normally the version your Class 10 certificate and the majority of your live documents already carry.
Pick the category, then its proforma
Public notice where one version is a misprint, change of name where you have chosen a version going forward. There is no third form, and using the wrong one returns the file.
Quote the other version exactly
Letter for letter, as that document prints it, so an office holding it can match it. Then state the correct version, and name each document with its number and year.
Type the proforma in duplicate
Two originals. A public notice is signed by you in your own correct name; a change of name is signed in the old name. Two witnesses sign both copies with their addresses and mobile numbers.
Sign the undertaking and publish once
The undertaking carrying the same names and address word for word, and one advertisement in a daily local leading newspaper showing the details of the case. Keep the whole original paper.
Pay only through BharatKosh
The Non Tax Receipt Portal and nowhere else since October 2018. Select the Department of Publication by name, read the amount the portal shows, pay in the applicant's own name, print the e-receipt.
Check every date, then post it yourself
Nothing in the file older than one year. Personally or by post or courier only. Photocopy the whole set first, because nothing sent in comes back, neither the original nor the photocopy.
Read both versions in the published text
Check that the other version is printed exactly as your document carries it and that the correct version is right letter by letter, because the linking value of the notice depends on both being exact. Then download the e-Gazette copy of that Part IV issue.
The Five Papers in the File, and What Is Checked in Each
| The paper | What is checked in it, clause by clause |
|---|---|
| 1. The proforma, in duplicate | That it is the right category's format; the other version quoted exactly as that document prints it; the correct version; the relationship line where a parent's name is involved; the full address with pin code; the signature in the right name; two witnesses complete with mobile numbers |
| 2. The undertaking | Signed by the applicant; the same names and address as the proforma, word for word; the declaration that the statement is true, with personal responsibility accepted if a legal issue arises later |
| 3. The original newspaper | The original paper, not a cutting; the paper's name and date of publication visible; the details of the case shown; the same spellings as the proforma; dated within the last year |
| 4. Both documents, photographs and identity proof | An attested photocopy of the document carrying the version being corrected, which is the paper that proves the mismatch exists; two self-attested photographs; identity and address proof matching the proforma address; both witnesses' proofs |
| 5. The CD, its certificate and the BharatKosh receipt | MS Word, without the witness portion, name typed in place of the signature; the certificate that hard and soft copies are the same; the forwarding letter to the Controller of Publication with a telephone number and email; the e-receipt |
The posting detail is on the sending the file to Delhi page, the fee on the fee and undertaking page, the download on the download page, and the fix for a published error on the corrigendum page.
What Each Office in Jharkhand Accepts for Two Names
The right instrument depends on who is refusing you. This is what we see in practice, and it is why we ask on the first call which counter sent you here.
| The office | What it usually wants |
|---|---|
| Banks and insurers | A one and the same person affidavit is commonly enough, alongside an officially valid document. Where a bank insists on a gazette, ask for that in writing, because their own rules often do not require it. The bank records page covers this |
| JSSC, JPSC and recruitment panels | Consistency is what they test, not correctness. A published notice printing both versions is far stronger here than a private affidavit, because it is a Government publication. The verification page explains what panels look for |
| Boards and universities | They work from their own register. An affidavit rarely moves them; a correction through the school, or a notice where the register itself is wrong, is what does. The JAC correction page has the route |
| Passport office | Has its own rules about what proves a name and what links two versions, and they are stricter than a bank's. Read the passport page before choosing an instrument |
| Aadhaar | Does not link two names. It holds one, and a spelling correction is treated as a minor edit with a lifetime limit, so do not spend an update casually. The Aadhaar page has the limits |
| Employers and PF records | Usually an affidavit plus a joint declaration through the employer, not a gazette. Ask the office which form they use before buying anything |
What Each Route Costs When Two Documents Carry Two Names
| Route | Cost | Time |
|---|---|---|
| One and the same person affidavit | Rs 100 non-judicial stamp paper plus the notary's charge. No Government fee at all | The same day, in your own district |
| Public notice | The Department's guidelines print Rs 1,400 for this category for the financial year 2016 to 2017, adding that it varies each financial year and from case to case. Applicants are commonly quoted around Rs 1,350 with the undertaking. Plus the newspaper, the notary and the courier | Part IV publishes weekly, so allow several weeks from posting |
| Change of name | The guidelines print Rs 1,100 for an adult or major and Rs 3,500 for an Indian living abroad, same year, same caveat. Commonly Rs 1,700 for a minor. Plus the newspaper, the notary and the courier | The same weekly cycle |
| A corrigendum, if a letter is wrong | A second notice at its own charge | Another full cycle |
| Our charge | Quoted on your papers before you pay anything, and confirmed in writing. We print no service price on any page of this site | |
Myths About Alias Names and Gazette Notifications
"There is an alias form in the gazette"
There is not. The Department publishes twelve categories and none of them is an alias or a one and the same person notice. Every category's proforma either declares a wrongly written name or announces a change.
"A gazette makes both names permanently valid"
No category is written to say that. A public notice states which version is correct. A change of name makes the older one a former name. Neither treats two names as equal forever.
"An affidavit is weaker so it is useless"
It is a sworn statement rather than a Government publication, which is a real difference, but it is what most banks, employers and insurers in Jharkhand actually accept. Weaker on paper and sufficient in practice is still sufficient.
"The bank said gazette, so it must be a gazette"
Ask for that in writing. A counter clerk's instruction and the institution's own requirement are often different things, and the written answer is frequently an affidavit.
"I can keep both names and never choose"
You can live with two versions until something important happens. A recruitment verification, a passport, a property paper or a pension is usually when it stops working, and by then there is no time. Choosing early is cheaper than choosing under a deadline.
"Aadhaar can hold both spellings"
It holds one. A spelling correction is treated as a minor edit with a lifetime limit, so an update spent on a version you are not sure about is an update you do not get back.
"A newspaper notice alone links the two names"
The newspaper is part of a gazette file, not a substitute for one, and on its own it is just an advertisement you paid for. Offices that want a Government publication want the Part IV page.
"Alias is the cheap option"
There is no alias option to be cheap. The genuinely cheap option is the affidavit, and the genuinely strong option is a published notice. Anything sold as a cheap alias gazette is one of those two under a different name.
"My maiden name needs an alias notice"
Usually not. A marriage certificate does the linking for most offices, and there is a separate Department category for adopting a maiden surname if a notice is genuinely needed.
Key Terms in an Alias or Two-Name Case
| Term | What it means in practice |
|---|---|
| Alias | An everyday word for a second name somebody also goes by. It is not a category at the Department of Publication, and there is no form for it |
| One and the same person affidavit | A notarised sworn statement that both documents belong to you. No gazette, and what most banks and employers accept |
| Public notice | The Department's category for a name that has been wrongly written. Prints both versions and states which is correct |
| Change of name | The category for a chosen new name, signed in the old name, after which the older name is a former name |
| Anchor document | The record every other record should be matched to, usually the Class 10 certificate, because it is the oldest formal spelling of your name |
| Linking letter or endorsement | A note from a board or university recording the correct name alongside the printed one. Often what you get instead of a reprint |
| Part IV | The weekly Part of the Gazette of India that carries personal notices |
| Corrigendum | A follow-up notice correcting a published one, at its own charge |
