Name Change in CMPFO Coal Mines Provident Fund Records in Jharkhand
If you work in a coal mine, your provident fund is not with EPFO. It sits with the Coal Mines Provident Fund Organisation, a separate body under the Coal Mines Provident Fund and Miscellaneous Provisions Act 1948, with its own Commissioner, its own Board of Trustees, its own pension scheme and its own deposit-linked insurance. Its head office is at Dhanbad. So every guide you have read about correcting a name in EPFO is about a different fund. And this subject has something no other record on this website has. Where your name in the Fund's records differs from your name in the coal company's service record, the standard operating procedure says a fact finding committee of three executives is to be formed at unit level to sort out the difference, and that a logical conclusion is to be arrived at within one month. A named forum, a named size, a named deadline.
Your name is compared against your employer's service record, so the correction runs through the coal company and not around it. The Fund holds one version of your name. Your unit holds another in its service record and in the B form. Where those two disagree, the standard operating procedure for claim settlement is explicit: "In case of any major difference between initial records maintained at CMPFO with that of Company's Service Record/B form with respect to Name of the member, Parentage/Spouse, Nominee etc, a fact finding committee is to be formed at unit level consisting of 3(three) executives to sort out the difference", and "Within 1(one) month of information received from CMPFO logical conclusion is to be arrived at." Read those two sentences twice, because they are the whole route. And now the timing, which is the part that costs people money. The same procedure has the company issuing superannuation notices "6 months prior to retirement" and CMPFO verifying records "At least 4 months prior to superannuation date". So the moment your name gets checked properly is four months before you retire, which is the worst possible time to discover a problem and the best possible time to have already fixed it. If you are anywhere within two years of superannuation and your papers do not agree, this is the year to deal with it, not the last month.
A Coal Worker Is Not Under EPFO, and That Changes Everything
This is the first thing we tell a caller from a colliery, because it saves a wasted week on a portal that has nothing to do with them.
| What the Act provides | What it means for your name |
|---|---|
| An employee is "any person who is employed for wages in any kind of work, manual or otherwise, in or in connection with a coal mine" | In or in connection with. The words are wide, and they cover far more than the man at the face. If your wages come from coal, this is your fund and not the other one |
| A coal mine is "any excavation where any operation for the purpose of searching for or obtaining coal has been or is being carried on" | The Act's own definition, and the reason a whole separate fund exists at all rather than coal workers sitting inside the general scheme |
| The Central Government may frame "a scheme to be called the Coal Mines Provident Fund Scheme", and "The Fund shall vest in, and be administered by, the Board" constituted under the Act | So there is a Board of Trustees and a Commissioner above your records. Not a regional EPFO office, and not a UAN |
| There is a Coal Mines Pension Scheme for "superannuation pension, retiring pension or permanent total disablement pension" | Which is why a name problem here reaches your pension as well as your fund balance. Two things ride on the same entry |
| And a Coal Mines Deposit-linked Insurance Scheme "for the purpose of providing life insurance benefits" | A third thing rides on it, and this one is paid to your family. That is the strongest reason not to leave a wrong name for later |
| A Coal Mines Bonus Scheme is also provided for under the Act | Worth knowing so that nobody tells you these are separate private arrangements. They are schemes under one statute, read against one set of member particulars |
A Fact Finding Committee of Three Is Formed When the Names Differ
On most subjects this website has to tell readers that no forum exists and no deadline is written down. Here both exist, and they are written down in the procedure the coal companies and the Fund work to.
The forum is at your own unit
At unit level, not at a headquarters and not in another city. Three executives of your own establishment. For a worker who cannot take days of leave, that is the single most useful fact on this page.
It is formed for a difference, not for a fault
The words are to sort out the difference. Nobody is being accused of anything. A name written one way in 1994 and another way in 2004 is a difference, and the procedure treats it as one.
The trigger is a comparison, so give them both sides
The committee exists because two records disagree. Hand in copies of both, with your own supporting papers, rather than asking somebody to go and find them.
One month is the stated expectation
A logical conclusion within one month of the information arriving. Quote it politely once, in writing, and note the date you were told the matter had been referred.
Parentage and spouse are named too
So a father's name spelt two ways, or a wife recorded in her maiden form, falls squarely inside the same provision. Our father's name spelling mismatch page covers the first.
Get the outcome in writing
Whatever the committee concludes, ask for it on paper and keep it. The people who read your file at superannuation will not be the people who sat on the committee, and the paper is what speaks for you then.
The CMPF Clock Runs From Your Retirement, Not From the Problem
This is the section we would ask a colliery worker of fifty to read first. Every other record on this website can be corrected whenever you get to it. Here the calendar has already been set, and it was set by your date of birth.
| What the procedure provides | What it means for you |
|---|---|
| Superannuation notices are dealt with "6 months prior to retirement" | Six months out, your file starts moving whether you are ready or not. That is the point at which a name difference stops being a private irritation and becomes a live question on a desk |
| Records are verified "At least 4 months prior to superannuation date" | This is the check. Four months before you retire, somebody compares the Fund's record with your service record. A difference found here is a difference found at the worst possible moment |
| Where a difference is found, the committee has one month to reach a conclusion | Which sounds comfortable until you notice that a month can pass while a paper is being posted, a document is being obtained, or an officer is on transfer |
| Discrepancies are to be "informed to concerned units of coal company through email for recheck" | So the Fund does raise it rather than sitting silent. But it raises it with your unit, not with you, and you may hear about it late or second hand |
| The consequence of leaving it | Your pension, your fund balance and your family's insurance benefit all read the same member particulars. A held up file holds up all three at once, at the exact month your salary stops |
| The consequence of dealing with it early | At forty five or fifty it is a letter and a committee sitting. At four months before retirement it is a letter, a committee sitting, and a household with no income waiting on it. Same work, completely different pressure |
The B Form and the Service Record Are the Comparator, Not Your Aadhaar
Almost every other page on this website ends up at the Aadhaar, because most records read it. This one does not, and that is the structural difference worth understanding.
| The position | What follows from it |
|---|---|
| The comparison named in the procedure is between records maintained at CMPFO and the Company's Service Record and B form | Your employer's paperwork is the yardstick. So the first document to obtain is not your Aadhaar, it is an extract of what your own unit has recorded about you |
| Claims are submitted in the composite form, described as "Form SAHAJ (Revised)" and "New SAHAJ (Revised)" | One form carries the claim. We print no separate correction form number, because the procedure we read does not name one, and we are not going to invent one |
| "The Dealing Clerk shall scrutinize the CMPF and pension claims submitted by the employee in 'SAHAJ' (Revised) for necessary correction" | So there is a scrutiny step inside your own establishment before anything reaches the Fund. That clerk is the person who first notices a name difference, and it is worth asking him to look early |
| "The AO of the units/Area shall attest the legible Xerox copy of the documents duly verifying the originals affixing his by name seal and signature" | Attestation is by a named officer with a name seal, against originals. Take your originals, take legible copies, and do not expect a photocopy alone to travel |
| Where the Fund finds a discrepancy it informs the unit through email for recheck | Which means a great deal happens between two offices without you in the room. Ask your unit whether anything has come back about your record, in writing, rather than waiting to be told |
| Your Aadhaar and bank account still matter, but differently | They matter for where the money goes rather than for who you are. Our bank records and Aadhaar pages cover those, and a stopped payment is often an account problem rather than a record problem |
The Nominee, the Family Claim and a Delay That Has to Be Explained
We write this section carefully, because it is the one that families reach in the worst week of their lives and the one where a wrong name does the most damage.
| The position | Why the name matters here most |
|---|---|
| The Act provides that "Any amount standing to the credit of any member in the Fund at the time of his death and payable to his nominee...shall vest in the nominee" | It vests in the nominee. So the nominee's name in the record is not a formality, it is the thing the money attaches to. Check it while the member is alive |
| The procedure names the nominee expressly among the entries a fact finding committee is formed to sort out | Which tells you the Fund and the companies already know this is a common problem. A nominee's name can be referred to that same committee of three |
| For a death claim, "The claimant should submit an application in Form SAHAJ (Revised)...giving reason of delay in submission" | A delay has to be explained. Not refused, explained. So where a family has taken months to come forward, say plainly why, in the application, rather than hoping it is not noticed |
| A wife recorded decades ago in her maiden form, against a bank account in her married name | The commonest version of this problem in Jharkhand, and nobody's mistake. Our Kumari or Devi to the husband's surname page explains the pattern to quote in the letter |
| The deposit-linked insurance benefit under the Act rides on the same member particulars | So one wrong entry can hold up three payments to a household with no earner. That is the honest reason this page argues so hard for doing the work early |
| What a family should hold, in one folder | The member's CMPF papers, the service record extract, the nomination as recorded, every identity paper of the nominee, and the bank details. Somebody other than the member will need to find all of it quickly one day |
How to Correct a Name in CMPF and Coal Mines Pension Records in Jharkhand
Make sure this is your fund at all
If your wages come from work in or in connection with a coal mine, you are under this Act and not under EPFO. Everything written about a UAN is about a different fund.
Ask your unit what the service record says
And what the B form carries. That is the yardstick the Fund compares against, so it is the first paper to obtain, not the last.
Put four papers on one table
The service record extract, the CMPF papers, the Aadhaar and the bank passbook. Write down the name, the father's name and the date of birth from each.
Decide which record is the odd one out
Not the easiest to change. Whichever disagrees with everything else you hold is the wrong one, and correcting a right record to match a wrong one is the expensive error.
Raise it in writing with the dealing clerk
He is the person the procedure puts the scrutiny on. Ask him whether the Fund has sent anything back about your record, and get the answer on paper.
Ask for the fact finding committee where the two differ
By its name. Three executives at unit level, a logical conclusion within one month. Quote the procedure politely once and attach copies of both records.
Take originals for attestation
The Authorised Officer attests copies against originals with a name seal and signature. A photocopy on its own will not travel, however good it looks.
Check the parentage and the spouse entry too
Both are named in the same provision as the member's name. Our father's name spelling mismatch page covers the commonest of the two.
Read the nominee's name against her own papers
Because the amount vests in the nominee. This is the entry that causes the most harm when it is wrong and the least trouble when it is checked early.
Count backwards from your superannuation date
Verification happens at least four months before it, and notices move at six months before. Anything you want settled must be settled before that window opens.
Check the date of birth as carefully as the name
It sets the superannuation date and therefore the whole timetable. A wrong year does not delay the file, it moves it.
Keep one folder, and tell your family where it is
Service record extract, CMPF papers, the nomination as recorded, every acknowledgement. The person who needs this folder may not be you, and they will need it in a hurry.
Central Gazette Process for a Name From Jharkhand, and Where It Fits a CMPF Record
No district in Jharkhand has a gazette counter, so a genuine file goes from Ranchi, Jamshedpur, Dhanbad, Bokaro, Hazaribagh, Deoghar or anywhere else in the state to the Department of Publication, Civil Lines, Delhi 110054, and the notice publishes in Part IV of the Gazette of India. As reported in July 2025 the Finance Department stopped personal name change notifications from the Jharkhand Government Press with immediate effect, so there is no state alternative to fall back on.
The Eight Steps of a Name File Sent From Jharkhand
Settle the final name first
Letter by letter, with the spacing you want, and then use exactly that everywhere, Aadhaar included. A corrigendum after publication is a second fee and a second wait.
Pick the category, then its proforma
A genuine change of name is change of Name Adult or Major. A wrongly typed spelling is the public notice for a wrongly written name. Twelve categories exist and only one is yours.
Type the proforma in duplicate
Two originals with two witnesses giving signature, full name, address and mobile number on both copies. A change of name is signed in the old name; a public notice is signed in your own name.
Fill the employment field if it is a change of name
The adult proforma asks for the post of the applicant and the office or company name. A student or a homemaker should still complete it rather than leaving it blank, because a blank field brings the file back.
Publish and keep the original paper
One of the daily local leading newspapers, carrying both names in full, the father or husband name and the residential address. The whole original paper goes in the file, not a cutting.
Pay only through BharatKosh
The Non Tax Receipt Portal and nowhere else since October 2018. Select the Department of Publication by name, read the amount the portal shows on the day, pay in your own name and print the e-receipt.
Check every date, then post it yourself
Nothing in the file older than one year. Personally or by post or courier only, never through an agent or advocate. Photocopy everything first, because nothing sent in comes back.
Read the notice, then update in the right order
Check every word the day it publishes, download the e-Gazette copy, and then take it to your unit office for the service record first, because that is what the Fund compares against, and let the Aadhaar and the bank account follow after it.
The Five Papers in the File, and What Is Checked in Each
| The paper | What is checked in it, clause by clause |
|---|---|
| 1. The proforma, in duplicate | That it is the right category format; the existing full name exactly as your documents carry it; the new full name exactly as settled; the father or husband name; the full address with pin code; the post and office or company name where it is a change of name; the signature in the right name for the category; two witnesses complete with signature, full name, address and mobile number |
| 2. The affidavit or undertaking | The same names and address as the proforma, word for word, with wording matching the category. On Rs 100 non-judicial stamp paper as our safe default |
| 3. The original newspaper | The original paper, not a cutting; the paper name and date of publication visible; both names carried; the father or husband name and residential address; dated within the last year |
| 4. Photographs, identity proof and any category paper | Two self attested passport photographs; self attested identity and address proof matching the proforma address; both witnesses proofs; and, in a public notice file, the attested photocopy of the connected document carrying the error |
| 5. The CD, its certificate and the BharatKosh receipt | MS Word, without the witness portion, with the name typed in place of the signature; the certificate that the hard copy and the soft copy are the same; the forwarding letter to the Controller of Publication with a telephone number and email; the e-receipt |
The posting detail is on the sending the file to Delhi page, the change of name wording on the proforma format page and the public notice wording on the public notice proforma page, the charge by category on the fee and undertaking page, the reasons files come back on the rejection reasons page, and the download on the download page.
What a CMPF Name Correction Costs in Jharkhand
| Item | Cost | Time |
|---|---|---|
| Asking your unit what the service record and B form carry | Nothing, and it has to be the first step. That record is the yardstick the Fund compares against, so until you know it you cannot know which side is wrong | One visit to the unit office |
| Reading four papers together | Nothing. The service record extract, the CMPF papers, the Aadhaar and the bank passbook. Name, father's name and date of birth from each, on one sheet | Half an hour |
| A written reference asking for the fact finding committee | Paper and postage. The committee is formed at your own unit from three executives, and the procedure gives it one month to reach a conclusion | One month is the stated expectation, not a guarantee |
| Attestation of your copies | Nothing beyond the copying. The Authorised Officer attests against originals with a name seal and signature, so carry originals | Same visit |
| A correction form for CMPF records | We print no form number and no fee, because the procedure we read names none. It names only the composite claim form, SAHAJ (Revised). Be careful of anybody quoting a form we could not find | Not stated in the sources we read |
| Correcting the Aadhaar, where that is the record that is wrong | Aadhaar charges a fee per attempt with no refund and limits how often a name may be updated. It matters here for where money goes rather than for who you are | Set by the enrolment centre |
| Fixing the bank account | The bank's own process at the branch. We print no charge because banks differ and we verified none. Often the real cause when a sanctioned payment does not arrive | Set by the branch |
| Contribution rates, pension amounts and fund balances | We print none of these, because we verified none from a Government source. They are matters for the Fund and your unit, and a figure from a website is worth nothing at a counter | Ask the unit office and get it in writing |
| Government printing charge, only in a genuine change of your own name | The guidelines print Rs 1,100 for an adult change of name and Rs 1,400 for a public notice, for FY 2016 to 2017, each with the caveat that the charge varies each financial year and from case to case. What BharatKosh shows on the payment screen the day you pay is the figure that counts | Part IV publishes weekly, so allow several weeks from posting |
| Our charge | Quoted on your papers before you pay anything, and confirmed in writing. We print no service price on any page of this site | |
Myths About CMPF and Coal Mines Pension Name Corrections
| What colliery workers are told | What is actually so |
|---|---|
| Correct it on the EPFO portal like everybody else | You are not in that fund. A person employed for wages in or in connection with a coal mine comes under the Coal Mines Provident Fund and Miscellaneous Provisions Act 1948, with its own Commissioner and Board of Trustees. There is no UAN to look for |
| Nobody will look at a spelling until I retire | True, and that is the danger. Records are verified "At least 4 months prior to superannuation date", which is exactly when a household can least afford a held up file |
| There is no forum, so it depends on goodwill | There is a forum and it is named. Where the Fund's record and the company's differ on the name of the member, parentage or spouse, or nominee, a fact finding committee of three executives is to be formed at unit level |
| These things take years | The procedure says a logical conclusion is to be arrived at within one month of the information reaching the unit. It is an expectation rather than a guarantee, but it is written down and you may quote it |
| Fix the Aadhaar and the fund will follow | Not here. The comparison named in the procedure is with the Company's Service Record and B form. Your employer's paperwork is the yardstick, and the Aadhaar matters for where money goes rather than for who you are |
| A gazette notification will settle it | It will not. A gazette writes nothing into a service record and nothing into the Fund. It cannot make two records agree, which is the only thing that is actually needed |
| Only the provident fund balance is at risk | Three things ride on the same member particulars: the fund, the Coal Mines Pension Scheme, and the Coal Mines Deposit-linked Insurance Scheme which is paid to your family. One wrong entry can hold up all three |
| The nominee's name is just a formality | The Act says an amount payable to the nominee "shall vest in the nominee". It is the entry the money attaches to, and the procedure names the nominee among the things a committee is formed to sort out |
| A family that comes forward late has lost the claim | Not according to the procedure. A death claim application is to be submitted "giving reason of delay in submission". A delay has to be explained, not hidden, so state plainly why in the application |
| Somebody outside can get it corrected faster for a fee | Ask him which record he intends to change and at which office. The committee is formed inside your own establishment and the attestation is by your own Authorised Officer. There is no outside shortcut through either |
Key Terms in a CMPF Name Correction
| Term | What it means in practice |
|---|---|
| CMPFO | The Coal Mines Provident Fund Organisation, which administers the Fund under the 1948 Act. Head office at Dhanbad. Not EPFO, and not connected to it |
| Employee, under this Act | "Any person who is employed for wages in any kind of work, manual or otherwise, in or in connection with a coal mine." The words are wide on purpose |
| Member | The Act's own definition is short: a member of the Fund. Everything on this page turns on the particulars recorded against that membership |
| Board of Trustees | The body the Fund vests in and is administered by, constituted under the Act. The reason this is a separate institution and not a branch of something else |
| Coal Mines Pension Scheme | Framed under the Act for superannuation pension, retiring pension or permanent total disablement pension. It reads the same member particulars as the fund |
| Deposit-linked Insurance Scheme | Framed under the Act "for the purpose of providing life insurance benefits". The one that is paid to your family, which is why a wrong name matters most here |
| Service Record and B form | Your employer's record of you. The yardstick the Fund's record is compared against, and therefore the first document to obtain |
| Fact finding committee | Three executives, formed at unit level, to sort out a major difference in the member's name, parentage or spouse, or nominee. The forum most readers have never heard of |
| SAHAJ (Revised) | The composite form named in the procedure for CMPF and pension claims. The procedure we read names no separate correction form, so we print none |
| Dealing Clerk | The person in your establishment who scrutinises the claim for necessary correction. The first person likely to notice a name difference |
| Authorised Officer | The officer who attests copies against originals with a name seal and signature. Carry originals, not only photocopies |
| Superannuation date | The date the whole timetable hangs from. Notices move six months before it and records are verified at least four months before it, which makes your date of birth as important as your name |
