TDS Form 16 and Form 26AS Name Mismatch in Jharkhand: PAN, Missing Credit and the Fix
Salaried staff in Ranchi, Jamshedpur, Bokaro and Dhanbad open their Form 16 or Form 26AS and find a different spelling, an old surname, or no TDS credit at all. The first thing to know is that TDS credit follows the PAN. The TRACES FAQ says: "PAN enables department to link all transactions of the 'person' with the department. These transactions include tax payments, TDS / TCS credits…" So the question is not only the name. It is whether the deductor used your correct PAN. If it did not, the Income Tax FAQ says "Your employer / deductor needs to file a revised TDS return." We publish Gazette notices, and we say this first: a Form 16 name slip needs no Gazette notice.
Five points, in the order you will need them. First, check the PAN printed on Form 16 against your PAN card. Second, open Form 26AS and see if the TDS shows there; the Income Tax FAQ says the credit you can claim is "restricted/provided to the amount as reflected in your Form 26 AS." Third, if the PAN is wrong or the credit is missing, ask the employer or bank to file a revised TDS return. Fourth, if only the name spelling differs and the PAN is right, ask HR to fix its records for next year; in our experience the credit still shows. Fifth, if the name on your PAN itself is wrong, fix the PAN first. We publish Gazette notices, and we say plainly that a Form 16 name slip needs none.
Why TDS Credit in Form 26AS Follows Your PAN, Not the Name
Your employer or bank deducts tax, then files a TDS return quoting your PAN. That credit then shows in Form 26AS. Two official FAQs explain what matters.
| Point | What the source says |
|---|---|
| PAN links the credit | "PAN enables department to link all transactions of the 'person' with the department." These include TDS credits, per the TRACES FAQ |
| Wrong PAN | The payment details "will not be reflected in Form 26AS", per TRACES |
| No PAN given | "tax should be deducted at the rate of 20% or higher", per TRACES |
| What you can claim | Credit in the ITR is "restricted/provided to the amount as reflected in your Form 26 AS", per the Income Tax FAQ |
| Who fixes a wrong entry | "Your employer / deductor needs to file a revised TDS return." |
Which Form 16 or 26AS Name Mismatch You Have
These problems usually fall into a few kinds. This sorting is ours.
| What does not match | What it usually is |
|---|---|
| Name spelling on Form 16, PAN correct | A slip in the employer's payroll records |
| Old surname on Form 16 after marriage, PAN correct | HR has not updated your name |
| Wrong PAN on Form 16 or 16A | A typing slip by the deductor; credit missing from your 26AS |
| TDS on Form 16 but not in 26AS | Wrong PAN, a late return, or a challan error |
| Name on your PAN is itself wrong | A PAN record problem, not a TDS one |
| Name in 26AS differs from your ITR login | See our e-filing portal name mismatch page |
How to Fix Each Form 16 and 26AS Name Mismatch
Most fixes sit with the deductor, not with you. This table is our practical advice, built on the two official FAQs.
| Mismatch | What usually fixes it |
|---|---|
| Spelling slip on Form 16, PAN correct, credit in 26AS | Ask HR to correct its records. In our experience the credit is not affected |
| Old surname after marriage, PAN correct | Give HR your updated PAN and marriage certificate. See married women |
| Wrong PAN on Form 16 or 16A | The deductor files a revised TDS return with your correct PAN |
| TDS on Form 16, missing in 26AS | Ask the deductor to check the PAN and challan, and revise the return |
| Name on PAN is wrong | Correct PAN first. See PAN card name change and PAN and Aadhaar name mismatch |
What Your Employer or Bank Must Do to Fix TDS Credit
You cannot correct a TDS return yourself. The deductor files it, and only the deductor can revise it. The Income Tax FAQ tells the taxpayer to "Inform the employer / deductor responsible for deducting TDS from your income."
| Situation | What usually applies |
|---|---|
| Salary TDS, wrong PAN | The employer revises its TDS return and issues a fresh Form 16 |
| Bank FD interest TDS, wrong PAN | The bank revises its return and issues a fresh Form 16A |
| Tax you paid yourself not showing | The FAQ says "You need to validate the Challan number and your PAN" |
| A valid PAN swapped for another valid PAN | TRACES says this correction "can be performed only once" |
Does a Form 16 or 26AS Name Mismatch Need a Gazette Notice?
No, for a slip. TDS credit follows the PAN, and a wrong PAN is fixed by the deductor. A spelling slip is fixed in HR's records. A Gazette notice is for a genuine change of name.
| Situation | What usually applies |
|---|---|
| Spelling slip on Form 16 | HR corrects it. No Gazette |
| Wrong PAN in the TDS return | Revised TDS return. No Gazette |
| Married name on Form 16 | Update PAN with the marriage certificate, then HR. Usually no Gazette |
| Genuine new name | A Central Gazette notice, then PAN, then HR and the bank |

Central Gazette Process for a Name From Jharkhand, and Where It Fits TDS Credit
No district in Jharkhand has a gazette counter, so a genuine file goes from Ranchi, Jamshedpur, Dhanbad, Bokaro, Hazaribagh, Deoghar or anywhere else in the state to the Department of Publication, Civil Lines, Delhi 110054, and the notice publishes in Part IV of the Gazette of India. As reported in July 2025 the Finance Department stopped personal name change notifications from the Jharkhand Government Press with immediate effect, so there is no state alternative to fall back on.
The Eight Steps of a Name File Sent From Jharkhand
Settle the final name first
Letter by letter, with the spacing you want, and then use exactly that everywhere, Aadhaar included. A corrigendum after publication is a second fee and a second wait.
Pick the category, then its proforma
A genuine change of name is change of Name Adult or Major. A wrongly typed spelling is the public notice for a wrongly written name. Twelve categories exist and only one is yours.
Type the proforma in duplicate
Two originals with two witnesses giving signature, full name, address and mobile number on both copies. A change of name is signed in the old name; a public notice is signed in your own name.
Fill the employment field if it is a change of name
The adult proforma asks for the post of the applicant and the office or company name. A student or a homemaker should still complete it rather than leaving it blank, because a blank field brings the file back.
Publish and keep the original paper
One of the daily local leading newspapers, carrying both names in full, the father or husband name and the residential address. The whole original paper goes in the file, not a cutting.
Pay only through BharatKosh
The Non Tax Receipt Portal and nowhere else since October 2018. Select the Department of Publication by name, read the amount the portal shows on the day, pay in your own name and print the e-receipt.
Check every date, then post it yourself
Nothing in the file older than one year. Personally or by post or courier only, never through an agent or advocate. Photocopy everything first, because nothing sent in comes back.
Read the notice, then update in the right order
Check every word the day it publishes and download the e-Gazette copy. Then update PAN, then give the new PAN record to HR and your bank, so the next Form 16 carries it.
The Five Papers in the File, and What Is Checked in Each
| The paper | What is checked in it, clause by clause |
|---|---|
| 1. The proforma, in duplicate | That it is the right category format; the existing full name exactly as your documents carry it; the new full name exactly as settled; the father or husband name; the full address with pin code; the post and office or company name where it is a change of name; the signature in the right name for the category; two witnesses complete with signature, full name, address and mobile number |
| 2. The affidavit or undertaking | The same names and address as the proforma, word for word, with wording matching the category. On Rs 100 non-judicial stamp paper as our safe default |
| 3. The original newspaper | The original paper, not a cutting; the paper name and date of publication visible; both names carried; the father or husband name and residential address; dated within the last year |
| 4. Photographs, identity proof and any category paper | Two self attested passport photographs; self attested identity and address proof matching the proforma address; both witnesses proofs; and, in a public notice file, the attested photocopy of the connected document carrying the error |
| 5. The CD, its certificate and the BharatKosh receipt | MS Word, without the witness portion, with the name typed in place of the signature; the certificate that the hard copy and the soft copy are the same; the forwarding letter to the Controller of Publication with a telephone number and email; the e-receipt |
The posting detail is on the sending the file to Delhi page, the change of name wording on the proforma format page and the public notice wording on the public notice proforma page, the charge by category on the fee and undertaking page, the reasons files come back on the rejection reasons page, and the download on the download page.
